# Searching, Sorting, and Filtering Transactions

## How to Search for Transactions

### iOS

1.  Tap the _Spending_ tab or tap the _Accounts_ tab and choose an account.
    
2.  Tap the magnifying glass at the top of the screen.
    
3.  Choose one of the listed suggestions, or just start typing.
    
4.  Each time you tap a suggested option or the magnifying glass next to your search term, you filter results by the term you typed.
    

As you search, you can fine-tune the results by tapping the search bar again to add another term. For example, you can start by typing the name of a flag you've customized (or the color of a flag you haven't customized) and tap "Flag is: \[name/color\]" to review all transactions with that flag. To search within those flagged transactions, continue typing into the search bar. 

### Android

1.  Tap the _Spending_ tab or tap the _Accounts_ tab and choose an account.
    
2.  Tap the magnifying glass at the top of the screen.
    
3.  Choose one of the listed suggestions, or just start typing.
    
4.  Each time you tap a suggested option or the magnifying glass next to your search term, you filter results by the term you typed.
    

As you search, you can fine-tune the results by tapping the search bar again to add another term. For example, you can start by typing the name of a flag you've customized (or the color of a flag you haven't customized) and tap "Flag is: \[name/color\]" to review all transactions with that flag. To search within those flagged transactions, continue typing into the search bar. 

### Web

1.  From the **web app**, you can search transactions by using the search field in the upper right-hand corner of specific account registers.
    
2.  You can also search across accounts by selecting the _All Accounts_ tab along the left sidebar in YNAB, and using the search box there.
    
3.  To activate search, just start typing in the search field. YNAB will show you some options based on what you typed.

    For example, if you type a number, YNAB will show you any transaction options that may match your search!
    
4.  You can also search with **multiple** criteria. For example, maybe you need to know all the times you dined out and it cost more than $30—you would enter "Category: Dining Out, Outflow: >=30_"_ in the search field in that case.

## Search Criteria

Here are the different criteria you can search for:

*   Amounts
    
*   Payees
    
*   Categories
    
*   (web app only) Dates: Search Before/After/On a particular date, using the date format set in your Plan Settings (e.g. mm/dd/yyyy, dd/mm/yyyy, yyyy/mm/dd)
    
*   Flag Names and Flag Colors
    
*   Memos
    
*   Split Transactions: type "_Category: Split_" into the **web** search bar, or "_Split_" in the **mobile** search bar. 
    
*   Cleared/Uncleared/Reconciled/Unreconciled
    
    *   If you want to hide reconciled transactions in the _Spending_ tab, tap the magnifying glass and select _Unreconciled_. This will temporarily filter the list to show only unreconciled transactions, so reconciled transactions won’t appear in that view.Note: This is a temporary search filter in the Spending tab. It’s different from the Show Reconciled options inside an individual account register.
        
*   (iOS and Android only) Has Photo/No Photo
    
*   Approved/Unapproved
    
*   Inflow/Outflow
    
*   "Is:" searches. For example, to review all uncleared transactions:
    
    *   Web: search "is: uncleared".
        
    *   Mobile: tap the _Uncleared_ suggestion.

## Search Tips

### iOS

#### General Search Logic/Parameters 

*   Our search feature is additive, but not subtractive. So, you can search for "Payee: Transfer", but you cannot search for "Except: Transfer". 
    
*   Search does not recognize wildcards (\*). 
    
*   Search does not ignore spacing between words. So if a payee is "Grocery Store" (with one space between Grocery and Store), and you search "Grocery  Store" (with two spaces), no results will be returned.
    
*   Payees/categories containing colons (:), commas (,), or dashes (- or —) will not always return expected search results. We recommend renaming categories/payees so they don't contain these characters.

*   When searching for a category containing a **specific** word, select "Category:" from the drop-down box rather than just typing the word in the search bar. This will focus the search on just that field.
    
*   If you're looking to view all transactions for a specific category in a month, click the number in the Activity column next to that category name. This will display a detailed pop-up list of all transactions within that category for that month.

## Selected Totals

### iOS

The selected total feature allows you to select transactions and review a total without using an external calculator tool.

### How to Find the Selected Total

1.  Tap the _Spending_ tab.
    
2.  Tap _Select_ at the top of the screen to display circles to the left of each transaction.
    
3.  Select multiple transactions by tapping each circle. The selected total will appear at the top of the screen and update each time you select or remove an additional transaction..
    

### Android

The selected total feature allows you to select transactions and review a total without using an external calculator tool.

### How to Find the Selected Total

1.  Tap the _Spending_ tab.
    
2.  Long press on any transaction to display checkboxes to the left of each transaction. 
    
3.  Select multiple transactions by tapping each checkbox. The selected total will appear at the top of the screen and update each time you select or remove an additional transaction.
    

### Web

The selected total feature allows you to select transactions and review a total without using an external calculator tool. This means you can use the selected total feature paired with a search to easily find out the totals for all kinds of things!

### How to Find the Selected Total

1.  Head to your account register or the All Accounts view and search for a certain category, a particular flag color, a distinct payee, or any other criteria you need.
    
2.  Once you have your filtered list of transactions from that search, select them all by clicking the checkbox at the far left of the account register header. That will select all transactions in the list, and the selected total will appear in the top right hand corner of the register.
    

This is a handy way to find the total spending for a specific payee.

## Transaction Sort Order

By default, transactions in the register are sorted by **date** in descending order: you’ll find your most recent transactions at the top. Transactions on the **same** **date** are sorted by amount: the largest outflow will be at the top with the largest inflow at the bottom. 

### How to Sort Transactions (Web Only)

The web app offers different options for how to sort your register order if you'd like to customize this!

You can choose to sort by any column by clicking the column header. Here are the columns you can sort by and how they sort:

*   Flags will sort by color.
    
*   Date will sort in either ascending or descending order.
    
*   Payee, Category, and Memo columns will sort alphabetically.
    
*   Outflow and Inflow columns will sort by amount.
    
*   Cleared will sort uncleared, cleared, pending, and reconciled transactions.
    

There's also a secondary sort order that changes the order based on which entry you click on first. If you sort by payee first, then sort by date, YNAB will sort in that order: Date then Payee. This works up to as many times as you sort columns. To reset the default sort order, click Inflow twice, then Outflow once, then Date.

### iOS

### Web

You can access the filter feature from the View menu in the account register. From there, you can filter out or hide reconciled transactions, elect to show the Running Balance and Flags, and limit the view to specific timeframes.

1.  From the **web app**, you can access the filter feature within specific account registers or in the _All Accounts_ tab.
    
2.  Click the _View_ button by the search bar to open the View Options menu.

3.  From here, you can filter out reconciled transactions, elect to show the Running Balance, Flags, and Photos. You can also limit the view to specific timeframes.
